At BromleyBee Early Years, we take the privacy, confidentiality and security of children and families seriously. This Privacy Policy explains how we collect, use, store and protect personal information when families interact with BromleyBee, including through our website, enquiries, enrolment process, childcare and early years services, parent communication systems and other digital services.
This Privacy Policy should be read alongside BromleyBee’s wider Policies and Procedures, including our safeguarding, child protection, photography and video, online safety, social media and information-storage procedures.

Our existing Policies and Procedures place children’s welfare at the centre of BromleyBee’s work and require information to be shared only where necessary to protect a child and act in their best interests.
3. Children’s Information
Because BromleyBee provides services for young children, some of the information we hold is particularly sensitive.
Information about a child will normally be provided by their parent or legal guardian as part of an enquiry, registration, enrolment or ongoing care arrangement.
We use children’s information only where it is relevant to their care, learning, development, safety, wellbeing or the administration of the services we provide.
Access to children’s information is limited to appropriate members of staff and, where necessary, authorised service providers or relevant authorities.
Safeguarding takes priority where there is a genuine concern about the welfare or safety of a child. BromleyBee’s existing policy establishes that relevant information may be shared with appropriate agencies where doing so is necessary in the child’s best interests.
4. Confidentiality and Secure Information
BromleyBee treats information about children and families as confidential.
We take reasonable organisational and technical measures to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.
Records containing personal information should only be accessible to people who have an appropriate reason to access them.
Our wider Policies and Procedures also require staff to understand the importance of protecting children’s privacy and maintaining confidentiality when handling information about children and families.
5. Photographs and Videos of Children
Photographs and videos can play an important role in recording children’s experiences, learning and activities. However, children’s privacy and safeguarding come first.
BromleyBee obtains appropriate parental or guardian permission for photographs and video recordings of children and reviews permissions where appropriate. Our existing policy also requires photographs to be shared with parents securely.
Permission may be requested separately for different purposes, including:
- Recording a child’s learning and development
- Sharing activities with parents
- Displays within BromleyBee
- BromleyBee’s website
- Social media
- Brochures or other promotional materials
- Events
- Security purposes, including CCTV where applicable
Parents who do not consent to a particular use should inform BromleyBee. Where consent is required, we will respect the parent’s or guardian’s decision.
BromleyBee’s existing policy also prohibits staff from taking photographs or recordings of children using their own personal devices.
6. Website Enquiries and Contact Forms
When you contact BromleyBee through our website, we may collect the information you choose to provide, such as your name, telephone number, email address, child’s age and the service you are interested in.
We use this information primarily to respond to your enquiry, provide relevant information and, where requested, arrange further contact.
Submitting an enquiry does not automatically enrol a child at BromleyBee.
7. BeeBot and Online Communication
Our website may provide automated or AI-assisted communication services, including BeeBot, to help visitors find information about BromleyBee and its services.
Information entered into BeeBot or other online communication systems may be processed by technology providers that help us operate those services.
For your privacy and security, please do not enter highly sensitive personal information into BeeBot, including detailed medical information, passwords, financial information or confidential safeguarding information.
BeeBot is intended primarily to provide general information and assist with enquiries. Important matters relating to a child’s health, safety, safeguarding or individual care should be communicated directly to BromleyBee staff.
8. Parent Communication Platforms and Third-Party Services
BromleyBee may use trusted third-party platforms and service providers to support functions such as:
- Parent communication
- Website hosting
- Online forms
- Data storage
- Website analytics
- Appointment or enquiry management
- AI-assisted communication
Where personal information is processed through a third-party service, we aim to use providers appropriate for the service concerned and limit the information shared to what is reasonably required.
Third-party providers may have their own privacy policies governing how they process information.
9. Sharing Personal Information
We do not sell children’s or families’ personal information.
Information may be shared where reasonably necessary with:
- Authorised BromleyBee staff
- Parents or legal guardians
- Service providers supporting BromleyBee’s operations
- Healthcare or emergency services where appropriate
- Safeguarding or child-protection authorities where required
- Government, regulatory or law-enforcement authorities where legally required
Information concerning a child will not ordinarily be disclosed to unrelated third parties without an appropriate reason, permission or safeguarding/legal requirement.
10. Safeguarding and Disclosure
There may be circumstances where confidentiality cannot be maintained—for example, where BromleyBee has reasonable concerns about a child’s safety or welfare.
Our safeguarding policy makes clear that children’s welfare is our primary responsibility and that relevant information may be shared with appropriate professionals or authorities where necessary to protect a child.
In such circumstances, safeguarding responsibilities may take precedence over normal confidentiality arrangements.
11. Accessing or Updating Information
Parents and guardians should tell us if information we hold about them or their child changes or is incorrect.
Subject to appropriate safeguarding, confidentiality and legal considerations, parents may request access to relevant information BromleyBee holds about their child.
This reflects our existing policy approach, under which parents are encouraged to have appropriate access to and involvement in records concerning their own children.
Requests can be made directly to BromleyBee management.
12. How Long We Keep Information
Personal information will be retained only for as long as reasonably necessary for the purpose for which it was collected, or where it needs to be retained for safeguarding, administrative, contractual or legal reasons.
Different types of records may therefore be kept for different periods.
When information is no longer reasonably required, it should be securely deleted, destroyed or anonymised as appropriate.
13. Cookies and Website Analytics
Our website may use cookies and similar technologies to help the website function correctly, understand how visitors use the site and improve its performance.
Some cookies may be necessary for the website to operate, while others may relate to analytics or third-party services.
Where appropriate, visitors may be given choices regarding non-essential cookies.
More detailed information may be provided through a separate Cookie Policy or cookie consent notice on our website.
14. External Links
The BromleyBee website may contain links to third-party websites or services.
Once you leave our website, the privacy practices of those external websites are governed by their own policies. BromleyBee is not responsible for the privacy practices or content of independent third-party websites.
15. Marketing Communications
Where appropriate, BromleyBee may send information about programmes, events, activities or services to parents or people who have expressed an interest in hearing from us.
Where consent is required, individuals may withdraw that consent or ask us to stop sending marketing communications at any time.
Important communications relating to an enrolled child’s care, safety, attendance or service arrangements are not considered marketing communications.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to BromleyBee’s services, website, technology, operational practices or applicable requirements.
The latest version will be published on our website with the date of the most recent update.
Our broader Policies and Procedures are also intended to evolve and be reviewed as appropriate; the existing manual specifically recognises that policies and procedures should be kept under review.
